Refund AND CANCELLATION Policy

Refund & Cancellation Policy

Effective Date:  05/05/2025

At Essence Voyages, we understand that plans can change. We aim to offer flexibility while also ensuring fairness to our local partners, service providers, and team. This policy outlines the terms for cancellations, changes, and refunds for foreign travelers who make advance bookings with us.

1. Booking Confirmation

A booking is considered confirmed once we receive:

  • A written confirmation (email or booking form), and
     
  • An advance payment (usually 30–50% of the total trip cost, unless stated otherwise).
     

2. Cancellation by the Client

If you wish to cancel your trip, you must notify us in writing at [insert email]. Cancellation charges will apply as follows:

Note: Refunds will be processed within 14 business days after confirmation of cancellation.

3. Cancellation by Essence Voyages

In the rare event that we must cancel your trip (due to unforeseen events such as natural disasters, political unrest, or force majeure), you will receive:

  • A full refund of the amount paid to us, or
     
  • An option to reschedule or rebook your trip at a later date at no additional cost.
     

We are not liable for any non-refundable expenses such as international flights or visa fees.

4. Partial Cancellation or Unused Services

  • If you voluntarily cancel part of your itinerary after arrival, no refund will be provided for unused services (e.g., skipped hotel nights or transfers).
     
  • If a service is cancelled due to a supplier's fault (e.g., overbooked hotel), we will provide an equivalent alternative or a partial refund, depending on the situation.
     

5. Force Majeure

No refunds or compensation will be given for cancellations, delays, or changes due to events outside our control, including but not limited to:

  • Natural disasters (floods, earthquakes, etc.)
     
  • Pandemics or government-imposed travel restrictions
     
  • Strikes, riots, or civil unrest
     
  • Sudden border closures or visa issues
     

We will, however, try our best to offer rescheduling options or travel credit where possible.

6. Refund Mode

Refunds will be processed to the same account or payment method used during booking, unless otherwise agreed. Bank or transaction charges (including currency conversion fees, if any) may be deducted from the refund amount.

7. Modifications & Date Changes

  • Date changes are allowed free of charge up to 30 days before your scheduled arrival, subject to availability.
     
  • For changes made within 30 days, additional charges may apply depending on hotel or service provider policies.
